How to fill in the procedure table

Rules that make steps easy to follow:

  • Start every step with a verb: Close, Check, Press, Record.
  • One action per step. If a step has "and then", split it.
  • Put the warning in the same row as the step it belongs to.
  • Use numbers, not words: "Wait 30 seconds", not "wait a moment".
  • Name things exactly as they are labelled on the machine or the shelf.
  • Add a photo for any step a new person might get wrong.

Before you publish the SOP

  1. Ask someone new to the task to do it using only the SOP. Fix every place they hesitate.
  2. Have the owner and a supervisor approve it and fill in the document control box.
  3. Train the team and fill in the training sign-off table.
  4. Put the current version where people work — and remove old copies.
  5. Set the next review date.

Make the SOP easy to follow

Can I use this SOP template for ISO 9001 or HACCP?

Yes, as a starting point. It has the sections auditors usually look for: document control, purpose, scope, responsibilities, the procedure, records and revision history. Add anything your standard or customer requires.

How do I number SOPs?

Use a short code for the department or area, then a number: for example HK-001 for housekeeping or WH-012 for the warehouse. Keep a master list with the current version of each SOP.

What is the best SOP format?

Numbered steps with one action per step, in a table with a column for warnings and a column for who does it. Add photos for steps that are hard to describe. For tasks people learn by watching, add a short video.
